Faculty/Staff Bicycle Commuter Choice

 

The Bicycle Commuter Choice rewards Mason faculty and staff for cycling to work. To participate and receive these great incentives, please read the information on this page and complete the Bicycle Commuter Program Form.

 

What You Need To Know

  • All full-time and part-time faculty and staff are eligible.
    • You must be actively employed at Mason at the time of the quarterly pay out to receive it.
  • The program supports you at 4 different tiers depending upon how much and how far you ride.  Please see the chart below for details.
  • The Bicycle Commuter Program Form must be submitted quarterly and no later than the 15th of the month following the end of the quarter to receive the incentive for that quarter.
    • Q1 (January 1 - March 31) – due by April 15
    • Q2 (April 1 - June 30) – due by July 15
    • Q3 (July 1 - September 30) – due by October 15
    • Q4 (October 1 - December 31) – due by January 15 (following tax year)
  • Incentives are processed through HR & Payroll and all incentives are taxable including:
    • The quarterly financial incentive
    • Complimentary parking passes/validations used (valued at $8 each)
    • The funds for the complimentary bike check (Tiers 2 and 3 only).  Please note: Funds for the complimentary bike check - $100 for Tier 2 and $200 for Tier 3 -- will be paid annually as part of the Q4 benefit.
    • Quarter 4 (October through December) incentives will be part of the following year’s taxable income.
    • Because the incentives must be administratively reconciled in Parking and Transportation and processed through HR & Payroll, we will not accept late submissions.

  • Complimentary Parking Passes

You have the choice of either parking passes which are good in any general lot or parking validations which can be used in any parking deck.  The value of the complimentary parking is taxable and will be reported on a quarterly basis to HR & Payroll.  Because the value of a daily parking pass is $8 and the cost of a daily validation is $15, the number you receive is based on a comparative total dollar value.

Please note:  A daily general permit  is good for the day.  You can come and go from campus and the parking pass can be used in any general area all day.  A parking validation is also good for the day but does not allow in and out privileges.  The paper validations at Mason Pond and Shenandoah are used to exit the visitor areas.  The validation code at Rappahannock is inputted at the pay station when you arrive to the visitor section.  In all three cases, if you leave before the time has expired, you lose the remaining time on the validation.

Both non-permit holders and permit holders have the option of buying an additional half-priced pack of 5 daily passes per semester for $20 or half-priced pack of 5 deck validations for $37.50. Email transpo@gmu.edu to request the permits.

  • If you haven’t already done so, you can receive a free on-guard U-lock and bike lights when you register your bicycle with Mason.

Requesting Daily Complimentary Permits

All Bike Commuter Choice participants are eligible to receive their tier level of daily parking passes or validations per quarter (please see the table above). Complimentary parking permits are only valid for the months indicated in the "Valid Month" box on the permit and the permits expire on 8/31 of each year. Parking validations have no expiration date. You will be taxed in the quarter in which you request the permits or validations, not when you use them. In order to ensure that you are not taxed on passes/validations you do not use, please request them by emailing transpo@gmu.edu as you need them.  Your passes will be sent out as often as you need up to your eligibility limit. Any vehicle with a permit used in a month other than the ones indicated in the "Valid Month" box will receive a citation. There will be no exceptions to this rule.

You will be given up to 6 introductory parking permits/validations to get you started for your first quarter (whenever that occurs in the year).  After that, the number of parking permits/validations will be based upon your previous quarter’s report.  For example, if you join the program in the first quarter, January – March, you will be given up to 6 complimentary daily parking permits (or validations).  When you submit your quarterly report (by April 15 for the first quarter), your second quarter permits will be based upon how much you rode in the first quarter.
